A Guide to Storing Archive Documents

The problem of storing archive documents has been around for decades, even in this world of super powerful computers and smartphones we still have a big reliance upon the printed word when it comes to keeping records.

So what do you do with all these paper documents? Well, anything that is important in the immediate day to day running of your business should be kept close at hand within clearly labeled files to aid productivity. Documents that need to be kept for record keeping purposes can be archived away in specially designed cardboard boxes that will keep them safe and organized for future retrieval.
Archive boxes (also commonly known as file boxes, document boxes, office box files or banker's boxes) allow the archiving of documents out of busy and often cramped offices which can increase work space for employees. The ultra low purchase price of cardboard archive boxes opens up this type of storage to businesses of any size or scale.

What Size Box Do You need?

An archive box that measures at least H250 x W250 x D370mm is required to allow standard A4 paperwork to be stored - either on its own or within protective document folders. There are many different sizes available to buy but knowing what you will be storing in each box will help to identify suitable box dimensions.

Foolscap Considerations

The foolscap paper size is typically now only used for outer folders that hold A4 paperwork; the foolscap size of 216 x 343mm supports A4 documents with enough space around the edges to offer decent protection. Most archive boxes are designed to accept Foolscap sizes so that A4 papers and file holders can be easily stored together.

Archive Racking

When there are a few archive boxes within an office they are often stacked one on top of the other, this is OK for small quantities but high piles of boxes can become difficult to use and even sustain damage. The preferred solution is to use dedicated archive box shelving and racking to provide a strong and long lasting storage system that will minimize damage and aid document retrieval.
Single or double depth shelves can be specified to accept as many boxes as necessary, choosing a racking system that goes above head height can dramatically increase the storage potential of any archive area where staff members are confident in using safety steps to access documents.
Archive storage systems provide a long-lasting, cost-effective way to both organize archive documents and save space within the office environment.
